AI intake, hiring and operations for law firms
Ira answers new-matter calls and texts at any hour; for personal injury she runs a full intake and grades the lead. Sara screens paralegals and case managers on the evidence, Ted writes down how the firm runs, and Mark drafts the follow-up to past clients. The judgment stays with your attorneys.
Where the work gives way, and what each worker takes on.
- IntakeIraAI receptionist
New-matter calls arrive while everyone billable is in court or with a client. A call that reaches voicemail calls the next firm on the list, and it never shows up in a report.
- Answers the firm's own number in a live voice conversation at any hour, and answers texts to it.
- For personal injury, runs a full intake: what happened and where, injuries and care so far, police report, insurance, and whether another lawyer is involved. Grades the lead A, B, C or R with its reasons.
- For other practice areas, answers from the details you publish and takes the caller's name, matter and contact details for your team.
- Leaves a summary, the recorded call and its transcript, and a callback owed with a due time, then texts the owner.
Stays with youWhich matters you take. Ira never turns a caller away and never gives legal advice.
- HiringSaraAI recruiter
Paralegals and case managers get judged on the firm they came from rather than the caseload they can carry, and a bad hire shows up months later as missed deadlines.
- Scores every applicant against the rubric you set for the role, quoting the résumé line behind each score, and caps the score when no quote survives.
- Rediscovers past applicants who fit the role you're filling now, and sources new candidates once you approve the cost.
- Writes the interview assessment from a recorded interview, and proposes interview times or sends the invite once you approve it.
Stays with youWho you interview and who you hire.
- OperationsTedAI ops manager
How a matter moves through the firm lives in one senior paralegal's head. When they leave, the process leaves with them.
- Turns a meeting recording, a transcript, notes or an old document into a step-by-step procedure.
- Keeps every procedure versioned, with a changelog, as the process changes.
- Writes onboarding plans for new hires, from before day one through the first 90 days.
Stays with youHow the firm runs.

Past clients go quiet because nobody has time to follow up while the caseload is full.
- Looks up past clients and open leads in your TalentOS CRM and drafts the follow-up, matched to the brand guide or examples you share.
- Checks how AI assistants describe and cite your firm, with the same questions every run, so you can see it change.
- Leaves the sending to you. Mark doesn't run campaigns on his own.

What law firms ask first.
- Does Ira replace our intake team?
- No. Ira answers the calls and texts your team can't get to, takes the details and hands a summary to a person. Your attorneys decide which matters to take, and Ira never turns a caller away on the phone.
- What does Ira ask on a new-matter call?
- For personal injury, a full intake: whether another lawyer is involved, when and where it happened, the case type, the other parties, whether anything has been signed or paid, the injuries and the care so far, with extra questions for car crashes, falls, dog bites and work injuries. For other practice areas, Ira answers from the details you publish and takes the caller's name, the matter and how to reach them.
- How does Ira decide whether a personal injury case is a fit?
- Each injury lead is graded A, B, C or R against a personal injury rubric, with the reasons written down. You set the states and case types the firm handles and what happens to calls from outside them. The grade goes to your team; the caller only hears when to expect a callback.
- Does Ira run a conflict check or calculate the statute of limitations?
- No to both. Ira takes the caller's details so your team can run conflicts, and never states a deadline. An injury incident more than 10 months old goes to an attorney the same day, so a person makes that call.
- Can we check what the caller actually said?
- Yes. Every call is recorded and transcribed, and the transcript is kept with the intake so anyone on the team can read the exchange behind a summary.
- Do callers know they're recorded, and talking to an AI?
- Every call opens with “Thanks for calling. This call is recorded.” Ira says it's an AI assistant before the call ends, and texts say so in the first message.
- Can Ira transfer a caller to an attorney, or speak Spanish?
- Not today. Ira doesn't transfer live calls; an urgent call becomes a notification and a text to the owner. Calls are in English.
- What does it cost?
- Each worker (Ira, Sara, Ted or Mark) is $500 a month, any two are $1,000, and all four are $1,500, the same as three. Setup starts at $2,500, once per account, depending on the connections you need and the size of the firm. Usage allowances are agreed on the call, and work past them keeps going and is billed after the month. Expert in the loop, where an operator runs the function with you, is an add-on service starting at $5,000 a month, with a 3-month minimum.
