The workers

Four workers, one for each job.

What each one does, what it hands you, what it connects to, and what it never does. Hire one, two or all four; the judgment stays with you.

  1. IntakeIraAI receptionist

Answers the firm's phone and texts at any hour, takes the details and leaves your team a callback owed.

    What Ira does

    • Answers the firm's own number in a live voice conversation, 24 hours a day, and answers texts to it.
    • Answers callers' questions from the details you publish in her knowledge base.
    • For personal injury matters, runs a full intake and grades the lead A, B, C or R with its reasons.
    • Offers consult times from the staff and hours you set in TalentOS.
    • Looks up clients and logs calls in the TalentOS CRM.

    What you get

    • A summary and a callback owed for every call
    • The recording and its transcript
    • A text to the owner
    • A lead in the CRM

    Works with

    • Your firm's TalentOS phone number
    • TalentOS CRM
    • Slack and text message

    Never does

    • Turn a caller away, give legal or clinical advice, or state a deadline.
    • Transfer live calls; urgent ones become a notification and a text to the owner.
    • Take clinical details or insurance, run conflict checks, or speak languages other than English.
  2. HiringSaraAI recruiter

Scores every applicant against your rubric, with the résumé line behind each score, and builds the shortlist.

    What Sara does

    • Scores candidates 1 to 5 on every criterion you set, quoting the résumé line each score relies on.
    • Checks each quote word for word and caps the score when the evidence isn't there.
    • Rediscovers past applicants who fit the role you're filling now.
    • Sources new candidates against the brief once you approve the cost.
    • Proposes interview times or sends the invite once you approve it, and writes the assessment from a recorded interview.

    What you get

    • A ranked shortlist
    • An ideal-candidate profile
    • Interview assessments

    Works with

    • Greenhouse (read-only)
    • Google Calendar

    • The inbound API, for tools like Clay and Zapier

    Never does

    • Decide who you interview or hire.
    • Message a candidate without your approval.
  3. OperationsTedAI ops manager

Turns how the work gets done into written, versioned procedures, and plans each new hire's first 90 days.

    What Ted does

    • Turns a recorded meeting, a transcript, notes or an old document into a step-by-step procedure.
    • Keeps every procedure versioned with a changelog, and updates it as the process changes.
    • Turns procedure steps into board cards someone can track.
    • Writes onboarding plans from before day one through the first 90 days.

    • Publish a procedure without your review.
    • Send applicant feedback on his own.
  4. ReferralsMarkAI outbound manager

Drafts the follow-up to past clients, patients and open leads in your voice. You send it.

    What Mark does

    • Looks up past clients, patients and open leads in the TalentOS CRM.
    • Drafts follow-ups matched to your brand guide or to messages you've sent before.

Questions

What firms ask about the workers.

Which AI models do the workers use?
Anthropic's Claude for language, Deepgram for speech and Voyage for search over your documents. Under their API terms, what you send isn't used to train their models.
Where is our data kept, and who can see it?
In the United States. Each firm's data is separated at the database level, and connection tokens are encrypted at rest. The people you add to your firm's account can see it, and so can the operator assigned to you if you use Expert in the loop. Nobody else at TalentOS looks at your records without your say-so, except to fix a problem you report.
Do the workers send anything on their own?
No. Mark drafts and you send. Interview invites and calendar events go out only after you approve them. Ira answers calls and texts to your firm's own number, which is the job you hire her for.
How do we know the work is right?
It shows its working. Research is cited. Every candidate score quotes the résumé line it relies on, and scores without evidence are capped. Every call is recorded and transcribed beside the summary.
Do we have to replace our case management, EHR or scheduling system?
No. The workers don't connect to case management or EHR systems; what they produce goes to your team, to Notion, Google Drive, Slack or email, and you keep working in the systems you have.
What happens to our records if we stop a worker?
They stay readable. Only the worker's new work stops. If you close the account, your data is deleted within 30 days.
