For personal injury firms

AI intake, hiring and operations for personal injury firms

Ira answers the injury calls your team can't get to, takes a full intake and grades the lead with its reasons. Sara screens case managers on the work, Ted writes down how the firm runs, and Mark drafts the follow-up to past clients. An operator checks their work for the first 90 days.

The workflow comes from a live personal injury deployment. The firm and the caller are anonymized, and the call details are illustrative. Ira never turns a caller away on the phone: the grade and its reasons go to your team.

The four jobsIn a personal injury practice

Where the work gives way, and what each worker takes on.

  1. IntakeIraAI receptionist

An injury call that reaches voicemail calls the next firm on the list. By morning the case belongs to someone else, and it never shows up in a report.

    • Answers on the firm's own number in a live voice conversation, at any hour.
    • Runs a full personal injury intake: what happened and where, injuries and care so far, police report, insurance, and whether another lawyer is involved.
    • Grades the lead A, B, C or R with its reasons, inside the states and case types you handle.
    • Sends an incident more than 10 months old to an attorney the same day.
    • Leaves your team a summary in the inbox, the recorded call and transcript, and a callback owed with a due time, then texts the owner.

Stays with youWhich cases you take. Ira never turns a caller away on the phone.

  2. HiringSaraAI recruiter

Case managers get judged on the firm they came from rather than the caseload they can carry, and a bad hire shows up months later as missed deadlines.

    • Scores every applicant against the rubric you set for the role, quoting the résumé line behind each score.
    • Checks each quote word for word against the résumé, and caps the score when no quote survives.
    • Rediscovers past applicants who fit the role you're filling now.

Stays with youWho you interview and who you hire.

  3. OperationsTedAI ops manager

How a demand package gets built lives in one senior paralegal's head. When they leave, the process leaves with them.

    • Turns a meeting transcript, notes or an old document into a step-by-step procedure.
    • Keeps every procedure versioned, with a changelog, as the process changes.
    • Writes onboarding plans for new hires, from before day one through the first 90 days.

Stays with youHow the firm runs.

  4. ReferralsMarkAI outbound manager

Past clients go quiet because nobody has time to follow up while the caseload is full.

    • Looks up past clients and open leads in your TalentOS CRM.
    • Drafts the follow-up, matched to the brand guide or examples you share.
    • Leaves the sending to you. Mark doesn't run campaigns on his own.

Stays with youWhat goes out, and the relationship.

Questions

What personal injury firms ask first.

Does Ira replace our intake team?
No. Ira answers the calls your team can't get to, runs the intake and hands a summary to a person. Your team decides which cases to take, and Ira never turns a caller away on the phone.
What does Ira ask on an injury call?
A personal injury intake: whether another lawyer is already involved, when and where it happened, the case type, who the other parties are, whether anything has been signed or paid, the injuries, and the care so far. Car crashes add the police report, insurance, vehicle damage and missed work. Falls, dog bites, work injuries and other case types each get their own questions.
How does Ira decide whether a case is a fit?
Each lead is graded A, B, C or R against a personal injury rubric, with the reasons written down. You set the states and case types the firm handles and what happens to calls from outside them. The grade goes to your team; the caller only hears when to expect a callback.
Can we check what the caller actually said?
Yes. Every call is recorded and transcribed, and the transcript is kept with the intake so anyone on the team can read the exchange behind a summary.
Do callers know they're recorded, and talking to an AI?
Every call opens with “Thanks for calling. This call is recorded.” Ira identifies itself as an AI assistant before the call ends.
Does Ira calculate the statute of limitations?
No. Ira never states a deadline to a caller. An incident more than 10 months old is sent to an attorney the same day, so a person makes that call.
What does it cost?
Each worker (Ira, Sara, Ted or Mark) is $500 a month, any two are $1,000, and all four are $1,500, the same as three. Setup is a one-time $2,500 per account. Usage allowances are agreed on the call, and work past them keeps going and is billed after the month. Expert in the loop, where an operator runs the function with you, is a separate service from $5,000 a month with a 3-month minimum.
